2 Email configuration

Task explanation.

You've just started a new job at finance canada. 2 days ago, the IT department sent your new computer and all the information that goes with it. To help you out, your predecessor had some habits and he left you a manuel with these instructions for your outlook.


Please do the following:

  • Set your signature

  • Set your holiday away period

  • Send all facebook/linkedin emails go to specific folder

  • Set automatic reply for form 1057-72

How to details.

Let's first start with setting a signature!


This one is pretty easy, it's in the mailing options.


Just head on to file --> options and inside the Mailing left tab, select the button to edit your signature.


A new pop up will show up and in that pop up there is a "NEW" button to insert your new signature and connect it to a certain account. If you only have 1 account it will default to that.

Second let's get the holiday reply's going


This one is inside of the INFO page of the file tab


Go to File --> INFO (default option) --> AUTOMATIC REPLIES


Once you click that a popup will show up with some simple questions to try and create your away time. Choose a start date, an end date. A message for people that work with you and a message for other people.


You are done! You will automatically reply to anyone during does dates

Third, we tackle removing facebook & linkedIN emails. The ones that would contain the word facebook or linkedIN in the body of the email.


Step one is to create the rule!

I choose to do this by going on the elipses and going in the rules tab and choosing to manage rule.


The pop up has an option for a new rule in the top left. 


Choose first that you want a rule that applies to message you receive.


Then go in the select to filter for messages that have specific words in the body. Add two words : "Facebook" and "LinkedIN"


Hit ok and then Next


Once on the next step you can choose to just delete them. They won't be gone for 14 days so if it's important stuff like a security code or password recovery you will still get em, but they won't clog your email anymore!

Finally, sending an automatic file as a reply from a request in subject.


What needs to get done is another rule, that affects message that you receive. The first setting for this one is to set it when you receive "urgent:1057-82"


Press Next and set the next one to a specific message, a  pop up message will show up, set the info in that new message and once you are satisfied hit save & close, You can attach the form I added at the top of this page to test out how it works with an attached PDF. Once that's done you can go ahead and hit finish and apply the new rule!


Now when people will send you a message with that request in the subject line you will automatically reply.
