Context: Meeting information tracking tool

NRC approached JAMESWDH with a problem they had regarding the tracking of meeting minutes and unresolved issues. Initially the plan was to do it in EXCEL. After 2 weeks of proof testing, JAMESWDH found that working in excel for this project was possible but very tedious and unpleasant. After some research, a practical solution was found. It is possible to make a PHP, MySQL form system that runs on a browser of any kind (Chrome, Edge or Firefox) but it would not be hosted on the internet but locally on either the user’s computer or on a USB stick.
This system would be ideal because PHP, MySQL databases are more standard than Excel. Furthermore, this database will be transferable later down the road on an intranet or local server. Making this not only a temporary tool but also a long term tool that can be improved and updated once the decision to set it up locally is needed.

This system would contain the following features:

Fillable Forms duplicating the design of the word documents

Information that would transfer from one form to another.

Unresolved Issues from the previous months

Title section

Certain fields that transfer directly from Agenda to Meeting minutes for the same meetings

The options to Save, Load and Edit any of the previous month’s agendas or meeting minute’s data within the same interface

The ability to export in CSV versions of the DATA and PDF versions of the agendas and meeting minutes

With the exported CSV files, reports would be created automatically once the data dropped in the appropriate excel file

This system will be considered autonomous for each COSH representative

Eventually a revision to the login will need to be made if the system is to be hosted locally (Intranet)

The platform will be built in PHP/MySQL, with the objective of further development being possible

There will be minor training for the use of this system but no technical documents (programming and architecture) produce with this mandate.

This project was the brainchild of an amazing person that passed over the course of the creation and setup of the project and was one of the most talented and fun students to ever be part of any JAMESWDH class.
